ICST Conditions for Registration

General Conditions

• IDENTITY SUPPLIER: ICST i.v.z.w., international non-profit organization according to Belgian law with seat in Belgium, 9000 Gent, Begijnhoflaan 93a; Registration number/VAT: BE-0892.660.514.
• PAYMENT: all fees will be charged in EUR
• INVOICE: an invoice will be available for printing at the end of the registration procedure.
• CANCELLATION/REFUNDS:
  1. Cancellation/refund options.
     1.1. The consumer has the right to communicate to ICST i.v.z.w. that he cancels the purchase without payment of any penalty and without mentioning the reason of his cancellation within 14 calendar days from the day following on the day of registration. However the consumer can not claim any refund from the starting day of the event, even if the term of 14 calendar days from the day following on the day of registration has not been expired.
     1.2. Cancellation and refund requests received between the Early Registration Deadline and 14 days before the start of the event —except for the cancellation-policy set in 1.1.—will be honored for 50% of the registration fee.
     1.3. Cancellation and refund requests received before the Early Registration Deadline–except for the cancellation-policy set in 1.1.—will be honored for 90% of the registration fee.
  2. General terms. Only refund requests sent by e-mail to registration@icst.org will be honored. The refund will be done within 30 days from the date of the valid cancellation/refund request via wire transfer in the currency ICST received the original payment. For that purpose, the consumer will forward in his cancellation/refund request all the needed personal bank information (name, address, IBAN number, BIC/SWIFT code). For any complaints, the customer can apply to ICST i.v.z.w. ‘s official seat: 9000 GENT, Begijnhoflaan 93a, Belgium.
• PRIVACY POLICY: ICST i.v.z.w. does not gather any personal information unless this information is provided voluntarily. By filling in and sending an order form, or by sending an e-mail, the visitor authorizes ICST i.v.z.w. to save his/her personal information in a file for automated users’ profiling, customers management, market research and direct mail by post purposes. The information given can be transfered to the companies contractually bound to ICST i.v.z.w. for these purposes. You are entitled to inspect and, if necessary, correct you personal information. You are entitled to object for free to the processing of your data for direct marketing purposes. You can address your application for inspection, correction or objection to registration@icst.org. Your electronical contact information can be used by ICST i.v.z.w. for direct e-mail marketing in case we received your prior approval. However, your prior approval is not required in case ICST i.v.z.w. uses electronical contact information she received upon delivery of particular services, for direct e-mail marketing of her own similar products or services. Your are entitled to inspect and, if necessary, correct your own electronical contact information. You are also entitled to object for free to the processing of your electronical contact information for direct marketing purposes. You can address your application for inspection, correction or objection in this matter to registration@icst.org. Automatically gathered non-personal information: ICST i.v.z.w. may gather anonymous or authorized information of a non-personal nature, like browser type of IP-address, the operating system you use or the domain name of the website through which you arrived at the ICST i.v.z.w.-website, or through which you leave it.
• APPLICABLE LAW: the present registration procedure will be governed by the Belgian laws and in case of any dispute, the parties submit themselves to the exclusive jurisdiction of the Courts of Gent (Belgium).

Specific conditions for authors related to the conference

• For each accepted paper, at least one author must register for the full technical session at a non-student rate, even if all authors are students. Payment of the full registration fee is required for all accepted papers and/or presentations that are to be uploaded and included in the conference proceedings. One registration payment covers up to 2 papers for those authors who have multiple papers accepted to the conference. Maximum number of pages accepted per paper: 14 + 2 extra pages (at an additional charge of €130.00 per page).
• IMPORTANT note to authors of accepted papers who are going to upload the camera ready paper: When you log in and register for the conference, you MUST use the SAME E-MAIL ADDRESS at which you received the invitation to upload your camera ready paper.
